Program Assistant / Executive Assistant
Full-time / Remote position (office headquartered in Washington, D.C.) - in-person meetings as necessary
Start Date: Immediate
This position will provide effective and efficient support to AAM's President and senior staff. This includes the planning and coordination of organizational activities (meetings, workshops, travel, budgets) as well as administrative, logistical, and information management assistance.
Program Assistant Responsibilities (60%)
- Support and assist in program implementation and execution, in particular, AAM-Hollywood Middle East Initiative;
- Ability to travel internationally and domestically as needed - valid U.S. passport required (15%);
- Support and assist in the conceptualization, design, and implementation of AAM events, including the annual Power of Film Awards Dinner;
- Negotiate contracts and manage vendor relationships for AAM events, including annual Power of Film Awards Dinner;
- Arrange complex travel and logistics for various AAM initiatives;
- Prospect potential funders, individual and major donors, and corporations;
- Assist in the conceptualization and creation of PR/marketing materials;
- Participate in execution of website redesign - liaise with external web developers and PR team;
- Assist in Board engagement and external communications, including regular correspondence, updates, and execution of Advisory Board meetings;
- Research and draft development materials including proposals and grant reports;
- Manage project reporting, tracking of receipts and creating expense reports for federal contracts;
- Design and create e-newsletters and maintain recipient list;
- Assist program staff with meetings, including prep and background research and follow up; and
- Additional program support and research projects as needed.
Executive Assistant Responsibilities (40%)
- Maintain President’s contact database; update with meeting notes and carefully track follow up;
- Assist President with meetings, including prep and background research and post meeting follow up;
- Fulfill programmatic research requests and other special projects as needed;
- Arrange and manage President’s complex travel (domestic and international);
- Collaborate with other staff to draft and edit President’s correspondence, including letters to Advisory Board, potential/existing funders, and potential new partners; and
- Provide basic technical support for President’s iPhone and laptop.
Skills, Qualifications, and Attributes:
- A minimum of 2 years of experience in non-profit or public policy organizations and track record of professionalism;
- Bachelor’s degree required;
- Excellent organizational and written and verbal communication skills;
- Enthusiasm and drive to significantly contribute to a mission-based organization;
- Motivation and ability to work independently and take initiative while working remotely with limited daily supervision;
- Flexibility working with different time zones and staff/partners based internationally;
- Social Media Proficiency (Facebook, Twitter, YouTube, Flickr);
- Highly proficient in Microsoft Office (Word, PowerPoint, Excel);
- Working knowledge of Adobe Photoshop and InDesign;
- Knowledge of basic web design (Drupal and WordPress) and SEO;
- Arabic language skills highly valued.
